A Quick Word About Email Newsletters
Email newsletters are one of the most effective tools for engaging with your audience. They help you:
- Share updates, tips, or stories with your subscribers
- Promote your latest products, blog posts, or services
- Build trust and relationships over time
A well-designed newsletter doesn’t just deliver content - it represents your brand. That’s why tools like Canva have become so popular for non-designers who want to create professional-quality newsletters in just a few clicks.
Canva offers beautiful templates that anyone can customize quickly without worrying about code.
How to Create a Canva Newsletter?
Step 1: Log in to Canva
Go to Canva.com and log in to your account. If you don’t have one yet, you can sign up for free. Canva offers both free and Pro templates for newsletters.
Step 2: Search for Newsletter Templates
In the search bar, type “Newsletter” and hit Enter. You’ll see hundreds of ready-made templates - ranging from business updates to product announcements and educational newsletters.
In the screenshot above, you can see that I have searched for the term "newsletter" in the search area. After entering the search term 'newsletter', press Enter.
Now, Canva will display lots of pre-built email newsletter templates that can be easily customized as per your requirements.
In the screenshot below, you can see that I've selected a template that is related to a Pre-school newsletter. Select a template that you like.
👉 Tip from experience: Choose a layout that matches your brand style - something consistent with your website or logo colors.
After selecting a template, you'll need to click on the Customize this template button to edit the template in the Canva Editor.
In the next step, we'll customize our newsletter to match our requirements.
Step 3: Customize Your Newsletter
Canva Editor allows you to edit each elements of your template - text, image, colors, fonts, logos, and icons. You can now customize:
- Text: Replace default text with your own content.
- Images: Upload your own images or choose from Canva’s library.
- Colors & Fonts: Match your brand’s color palette.
- Logos & Icons: Add your business logo or social media icons.
To make any changes to your template, click on the element that you want to change or edit, and make the changes.
For example, to change any text, click on the text and add your own text. To change an icon, click on it, delete it, and go to the Elements tab on the left and search for your icon. Then click on the icon to insert it into the design. Now, resize it and position it as per your need.
You can also add your own logo by replacing the default logo. Click on the logo on your template and delete it. Now, click on the Uploads tab on the left and upload your own logo from your computer. After successful uploading, click on the logo to add it to your design.
To change the background color inside the template, click on the element and select a color of choice from the toolbar to change the background color.
I usually keep my newsletters minimal - too many colors or blocks can overwhelm readers. Canva’s grids and alignment tools help maintain a clean, professional layout.
Step 4: Embed or Share the Newsletter in Email
In the screenshot, you can see that I have made some changes to text, background colors, logo, icon, and images. Can you spot the changes I have made in this Canva newsletter template in comparison to the original template?
Once your newsletter is ready, there are three main methods to share or embed it into your email. Check out the next section to learn more.
How to Embed Canva Newsletter in Email?
Method 1: Export Newsletter to Mailchimp
Canva directly integrates with Mailchimp, one of the most popular email marketing tools. After connecting Canva with Mailchimp, we can easily use the Canva newsletter in Mailchimp.
Here’s how you can do it:
- Click on “Share” → “More” → “Mailchimp” in Canva.
- Log in to your Mailchimp account.
- Canva will automatically export your design to your Mailchimp account.
- Choose the audience or campaign where you want to add your newsletter.
To make a connection between Canva and Mailchimp, go to Share and click 'See all'.
Next, search for the term - mailchimp. Then, click on Mailchimp, as shown below.

You'll be asked to review the settings. See the screenshot below. Click on Continue to finish the connection setup between Canva and Mailchimp.
In the screenshot below, you can see that connection between Canva and Mailchimp has been successfully established. You can also see your created designs inside your Mailchimp account.
Now you can send your beautifully designed newsletter directly to your email subscribers in Mailchimp without manually uploading files.
Personal note: I personally use this method when running email campaigns because it saves time and keeps my designs consistent across all emails.
Method 2: Download Newsletter as Image or PDF
If you’re using another email platform (like Gmail, Outlook, or ConvertKit), you can download your newsletter and attach or embed it manually.
Here’s how:
- In Canva, click on “Share” → “Download.”
- Choose your preferred format:
- JPG or PNG – Ideal for embedding in the email body.
- PDF (Standard or Print) – Best for downloadable or printable newsletters.
- Download the file.
- Open your email platform and upload or insert the file into your email content.
👉 Tip: If you use Gmail, you can simply insert the image version of your newsletter directly into the email body. This gives a “visual” look without the need for HTML formatting.
Method 3: Share the Canva Link
If you want readers to view the newsletter in its full visual glory on Canva, you can share a view-only link.
Steps:
- Click “Share” → “Link.”
- Set permissions to “View only.”
- Copy the generated link.
- Paste this link in your email with a call-to-action like “Click here to view our latest newsletter.”
This method ensures your design stays intact across all devices and email clients.
I sometimes use this when sending highly visual newsletters, as it ensures perfect layout consistency and fast loading times.
Tips for Creating a Perfect Newsletter in Canva
- Keep it short and focused: Readers have limited time. Use catchy headlines and brief sections.
- Use consistent branding: Stick to your brand’s colors, fonts, and tone.
- Add call-to-action buttons: Guide readers to your website, blog, or product page.
- Use high-quality images: Canva’s image library is great, but always optimize images for fast loading.
- Make it mobile-friendly: Most users read emails on phones, so check your layout on smaller screens.
- Personalize when possible: Address your readers by name if your email platform allows it.
- Test before sending: Always send a test email to yourself to ensure formatting looks perfect.
Personal tip: I once sent a newsletter with an unlinked “Buy Now” button—lesson learned! Always double-check links before hitting send.
