I stumbled upon Calibre while searching for a simple way to convert my Word documents into Kindle-friendly formats and it turned out to be so much more than just a converter.

How to Create Ebooks in Calibre?
Let’s dive into the actual process. I’ll explain it using my own experience while creating an ebook for my blog subscribers.
Step 1: Download and Install Calibre
- Visit https://calibre-ebook.com
- Download the correct version for your OS (Windows, macOS, Linux)
- Follow the installation prompts

Personal Tip: Don’t skip the quick setup wizard during installation—it lets you choose your preferred ebook reader device, which helps with formatting later.
Step 2: Prepare Your Manuscript
Before importing your document, ensure your content is clean and well-formatted. I usually write in Google Docs or MS Word and then save it as a .docx file.
Make sure to:
- Use Heading styles (Heading 1, Heading 2, etc.)
- Include a title page and table of contents
- Remove excessive blank lines or images
My Experience: I usually write my content in Google Docs and download it as a .DOCX file before uploading to Calibre. It keeps formatting intact better than plain text.
Step 3: Add Your Book to Calibre
- Open Calibre
- Click "Add books" (top-left corner)
- Select your .docx, .pdf, or .html file
My Experience: I once added a poorly formatted Word file and the output was a mess! Always clean up your formatting first — it saves a LOT of time later.
Step 4: Edit Ebook Metadata
After your book is added, right-click on it and select Edit metadata > Edit metadata individually.
Now, fill in your:
- Title
- Author name
- Cover image (you can upload your own!)
- Rating
- Tags (optional but helpful for organizing)
- Published date
Tip: If you don’t have a cover, use free tools like Canva to design one or use royalty-free images from Unsplash + add text. A professional-looking cover really makes a difference!
Step 5: Convert Your Ebook Format
To convert your ebook into your desired format, follow the steps given below:
- Select the book and click Convert books from the top menu.
- A new window will open as shown in the above screenshot. From the top-right corner, click on Output format.
- From the available options such as EPUB, AZW3, MOBI, DOCS, etc., choose your output format:
- EPUB is best for most ebook stores and readers (like Apple Books, Kobo).
- MOBI or AZW3 is better for Kindle.
3. You’ll also see options to tweak fonts, layout, page setup, table of contents, etc.
4. Finally click on Ok to complete the conversion process.
My Workflow: I always export to EPUB first, then to MOBI or AZW3 for Kindle, just to cover all reader types.
Step 6: Customize Layout (Optional but Powerful)
In the conversion window as mentioned in Step 5 above:
- Use the “Look & Feel” tab to change font size and style.
- The “Page Setup” tab lets you customize margins and screen size.
- The “Table of Contents” tab allows you to auto-generate TOC from headers.
Trick: If your source file has proper headings (like H1 for chapter titles), Calibre can automatically create a clickable Table of Contents. This is a huge time-saver!
Step 7: Preview Your Ebook
After conversion:
- Right-click your book.
- Choose "View" to open the ebook viewer.
- Check formatting, images, fonts, and TOC.
My Experience: Always preview the file — I once found an entire section missing because I didn’t use Heading styles properly.
Step 8: Save or Export Your Ebook
- After conversion is done, click on your ebook.
- Click “Save to disk” > “Save only EPUB format to disk” (or your preferred format).
- Choose your destination folder.

Tips & Tricks from Personal Experience
Following tips and tricks will help you to make the best use of Calibre for ebook creation and management.
- Use Clean Formatting in Your Source File: Don’t use fancy fonts or complex tables in DOCX—Calibre may not handle them well.
- Always Preview Your Ebook: Use Calibre’s “E-book viewer” to preview formatting before publishing.
- Batch Conversion: If you’re working with multiple ebooks, you can select all and convert them in one go.
- Keep a Backup: Calibre stores everything in its own library folder, but I always keep a manual backup of my final exported files.
