Systeme.io Automation

What Is Automation in Systeme.io?

Systeme.io Automation Features

Systeme.io Automation

Automation in Systeme.io is based on two simple ideas:

1. A Trigger

Something happens.

Pinterest Templates

Examples:

  • A contact signs up
  • A purchase is made
  • A tag is added
  • A form is submitted
  • A course is completed

2. An Action

Systeme.io responds automatically.

Examples:

  • Send email
  • Add tag
  • Subscribe to campaign
  • Enroll in course
  • Move to workflow
  • Send Slack/webhook notification
  • Add to order bump / upsell sequence

That’s it - trigger + action.

But when combined, automation becomes incredibly powerful.

Automation Rules vs Automation Workflows

Systeme.io gives you two automation systems:

1. Automation Rules (Simple IF/THEN Rules)

Best for simple one-step automations like:

  • IF someone fills a form → THEN add tag
  • IF someone buys a product → THEN enroll in course
  • IF someone subscribes → THEN send an email

Automation Rules = Perfect for quick “IF/THEN” logic.

2. Workflows (Visual Multi-Step Automation)

Workflows are advanced, multi-step, visual automations.

You can combine:

  • Delays
  • Conditions
  • Branching logic
  • Multiple triggers
  • Multiple actions
  • Goal resets

Workflows = Perfect for complete customer journeys.

Examples:

  • 7-day email sequence
  • Freebie funnel automation
  • Course onboarding
  • Webinar reminder flow
  • Upsell/cross-sell funnel
  • Affiliate onboarding sequence

The interface is clean, drag-and-drop, and extremely beginner-friendly.

Create Your First Systeme.io Automation Workflow

Systeme.io Automation Workflow

In this section, you'll learn step-by-step how to create a Systeme.io automation workflow.

Let’s walk through creating a basic workflow that sends a welcome email after someone downloads a freebie like an ebook, checklist, or a template.

Step 1: Go to “Automations” → “Workflows”

Log in to your Systeme.io account. If you don't have an account, create a free account at Systeme.io. From the top dashboard:

  • Click Automation
  • Select Workflows

In the screenshot, you can see that I have clicked on Automations. Here, you get two options - (1) Rules, and (2) Workflows. You need to click on Workflows.

Systeme.io Workflow

After entering the workflow name, click on the Save button as shown above.

In the screenshot below, you can see the workflow created by me.

Step 3: Add the Trigger

Every workflow must begin with a trigger. Click on the Workflow (Free Ebook Welcome Sequence) we created in the previous step. You'll be taken to a page where you can create a trigger for your workflow. See the screenshot below.

Create Trigger

After you click on the button - Create your first trigger, a window will open asking you to select a trigger. You'll need to select a trigger from the list:

Pinterest Templates
Choose Trigger

As you click on the option - Choose a trigger, you'll see a number of triggers. For example:

  • “Tag added”
  • “Funnel form subscribed”
  • “Course completed”
  • “Product purchased”
  • “Campaign completed”
Select a Trigger from the list

For a freebie funnel, choose:

“Funnel form subscribed”

In the above screenshot, you can see there is a trigger named Funnel form subscribed. Select it.

Then select your opt-in form if you had created in your Sales Funnel. Thus, you need to have a Sales Funnel with a opt-in form to complete the workflow. See the arrow marked in the screenshot below.

Select Opt-in Form

In the screenshot below, you can see that I have selected my opt-in form. Now, we will add some actions to this form. For example, adding a tag to a subscriber, sending email, subscribe to a campaign, etc.

Systeme.io Workflow Builder

Click on the '+' button as shown in the above screenshot to add action to the trigger we created earlier.

Step 4: Add Your Actions

After clicking the '+' button, you'll see a popup as shown below. Now, click on Action.

Select Action

As shown in the screenshot below, click on - Choose an action, option and select an action.

Systeme.io Trigger Action

In the screenshot below, you can see that I have applied an action - Apply a tag. After selecting an action, you'll need to select your tag. Please note that you'll need to create your tag separately from the CRM option in the Dashboard.

Systeme.io Apply Tag

Next, click on the Create button.

Action Added to Systeme Trigger

In the above screenshot, you can see that I have added a tag - Customer, to my form. Thus, whenever a user fills up my form to buy a product, he/she will get tagged as Customer.

Thus, Systeme.io allows you to add actions such as:

✔ Send email

Welcome message with download link.

✔ Add tag

Example tags:

  • “New Subscriber”
  • “Lead Magnet – Ebook”

✔ Subscribe to campaign

Add them into a 5–7 day nurturing sequence.

✔ Add delay

Wait 1 day before sending Email #2.

✔ Move to another workflow

Useful for advanced funnels.

You can add unlimited actions, organize them in the order you want.
